B) Booking terms & travel conditions
1) What’s included / not included
Included (as per each program): accommodation (shared basis unless stated), ground transportation per itinerary (including arrival transfer from nearest airport), listed meals, field arrangements for activities (e.g., trekking, horse-riding, diving, river/marine), required permits/fees, national-park entries when applicable, English-speaking local leadership and guiding (typical guide ratio 1:6 to 1:12 depending on program).
Not included: meals not listed; beverages; visas; international/domestic flights unless stated; travel insurance; medical/hospital/evacuation costs; laundry; tips; airport taxes; personal expenses. If an itinerary is extended/modified due to weather, safety, transport or comparable causes beyond our control, extra on-site costs are at the traveler’s charge (we assist at best effort).
2) Pre-contract information (EU 2015/2302)
Before booking, you receive the statutory pre-contract information and, where applicable, the EU Standard Information Form (package travel): destination, itinerary, services included, accommodation type, meals, transport, minimum group size (if any), total price incl. taxes, payment schedule, cancellation/modification terms, identity documents/visa/health formalities, and complaint/contact details.
3) Formation of contract – No cooling-off
The contract is formed when we confirm your booking after receiving the deposit and your acceptance (email or e-signature). There is no statutory cooling-off period for travel services sold online to consumers (French Consumer Code, L.221-28-12°).
4) Prices & price revision
Prices are set on the quote/invoice. As permitted by the French Code du tourisme, prices may be adjusted up or down (e.g., changes in transport costs, taxes/fees, exchange rates). Any revision will state the calculation method and your options on a durable medium.
5) Payments
- Deposit – 20% of the total to confirm (applied to the trip price). If you cancel, the cancellation fees below apply; the minimum fee equals the deposit.
- Balance due – Unless otherwise stated on your quote/invoice:
• 30 days before arrival for regular departures
• 60 days before departure for private trips or programs specifically noted - Payment methods – Card via Stripe, or bank transfer (Wise). Your bank’s fees/exchange rates may apply.
- Currency – Prices in EUR or USD as specified on your quote/invoice.
6) Your changes & cancellations
- Changes after booking – Subject to actual supplier costs (airlines, lodges, permits, etc.) + any management fee specified on your quote/contract.
- Cancellation fees (regular departures)
• >30 days: 20% of total (deposit)
• 16–30 days: 50% of total
• 0–15 days: 100% of total - Cancellation fees (treks, multi-sport, puma tracking & similar programs)
• >60 days: 20% of total (deposit)
• 60–30 days: 50% of total
• 0–29 days: 100% of total - Rescheduling – One reschedule may be offered (subject to availability and supplier agreement) if notified before the relevant deadline (15 days for regular / 60 days for treks & similar).
- No refund for unused services (late arrival, early departure, no-show).
7) Transfer of the contract (replacement)
You may transfer your booking to a person meeting the same conditions for the trip. Notify us no later than 7 days before departure and pay actual costs resulting from the transfer (airline name-change fees, permits, etc.).
8) Changes/cancellation by us
If a significant element must be changed before departure, you may accept (with any price adjustment) or cancel without fees for a full refund. If we cancel (other than for force majeure or failure to reach a stated minimum group size), you receive a full refund and, where required by law, appropriate compensation.
9) Organizer’s responsibility & assistance (statutory)
As organizer, we are legally responsible for proper performance of the travel services under the contract (Code du tourisme). Liability may be reduced only where failures are attributable to you, an unforeseeable and unavoidable act of a third party unconnected with the provision, or force majeure. We provide assistance to travelers in difficulty (information, help with alternative arrangements, etc.).
10) Health, fitness & safety
Some trips involve altitude, remoteness or technical terrain. You must assess your fitness and disclose any relevant medical condition before booking. We may require a medical certificate aligned with the program’s difficulty. For safety, the trip leader may refuse or discontinue participation if a traveler is unfit or endangers the group; unused services are non-refundable. Evacuation can be difficult/expensive in remote areas.
11) Insurance
Comprehensive travel insurance (medical expenses, repatriation, personal accident, activities practiced, baggage) is strongly recommended and may be mandatory for certain expeditions; when mandatory, proof of coverage is required before departure. We do not sell insurance.
12) Passports, visas, health formalities
Travelers are responsible for holding valid identity documents and meeting visa and health requirements of the destination country. Official guidance can change; please check with relevant authorities before departure.
13) Minimum numbers (if applicable)
Where a minimum group size is specified, we may cancel with a full refund if the minimum is not reached by the deadline stated in the program.
14) Force majeure / extraordinary circumstances
We are not liable for consequences of force majeure (e.g., natural disasters, political unrest, severe weather). We will endeavor to offer alternatives or postpone where feasible.
15) Sustainability & protection of minors
We oppose exploitation of human beings in any form and require suppliers to do the same. Minors must travel with a responsible adult and required documents. We apply sustainability practices with local partners and communities.
16) Complaints
Contact Customer Service: info@traveldifferently.fr (or contact@traveldifferently.org).
We aim to respond within 60 days. If unresolved, you may use the EU ODR platform (link above) and, once designated, our certified consumer mediator.
